Scope

These terms and conditions are between you and The Baxter Hostel and apply to all bookings of beds or dorms.

You can only make a booking if you are 18 years old or over. If you arrive at the hostel and are under 18 years of age you will not be permitted to stay alone. We may require photo ID as proof of age.

The Baxter Hostel do not permit any commercial activity or any activity that seeks to gain profit without any prior written consent.

Bed rates

The bed rate charges agreed when you made your reservation will apply to your booking. Breakfast is included in your bed rate. Other extras are not included in bed rate charges, unless otherwise agreed.

VAT and local currency

All charges are inclusive of VAT

Invoices

An invoice will be sent to the email address provided at the time of booking or at the time of checkin.

Invoices cannot be modified after check-out.

Payment Policy

All bookings must be secured with a valid credit card at the time of booking.

Pay Later:
The Baxter Hostel will take the full amount of a ‘Pay Later’ rate within 48 hours of your arrival date, this amount is non-refundable in case of non-show or late cancellation.

Pay Now:
The Baxter Hostel will take the full amount of a ‘Pay Now’ stay at the time the booking is made, this amount is fully non-refundable in the even that you cannot attend your booking.

The payment policy for group bookings is covered in the Group Bookings section of these Terms & Conditions.

Amendments & Cancellations

Sometimes things do change, if you need to change or cancel a ‘Pay Later’ reservation this must be in writing 48 hours prior to the arrival date. Please email thehost@thebaxterhostel.com

Amendments are subject to charges for any rate difference. This is of course subject to availability but we will try our best to accommodate.

Cancellations out of the 48 hours policy will not be refunded.

‘Pay Now’ or non-refundable reservations cannot be refunded under any circumstances. If you think there is a chance you may need to amend or cancel a booking please book one of our refundable rates or ensure your travel insurance will cover this scenario.

No Shows on the day of arrival will be treated as non-refundable cancellations.

If you have booked a room through the use of a travel agency or an online travel agency (such as Booking.com, Expedia or Agoda), you must cancel or modify your booking through the agency that you used to make the booking.

Bookings made through Hostelworld you will be charged a deposit. This is taken by the Hostelworld and not The Baxter Hostel and is non-refundable and non-transferable. Any questions or concerns regarding your deposit should be taken up with Hostelworld.

Group bookings

  • Please contact The Baxter hostel directly to make a group, Stag or Hen party booking.

  • Group is defined as a booking for 6 people or more or when booking an entire dorm.

  • All groups must pay a 25% non-refundable deposit when booking.

  • The balance is due 21 working days before arrival.

  • For cancellation of a group booking we will need a notice period of 21 working days before the arrival date otherwise full payment will be taken for the booking.

  • For special prices and offers please contact us directly.

Refunds

Refunds of prepaid charges are generally processed within five business days after your request to cancel or modify your booking.

MAXIMUM LENGTH OF STAY

Due to business needs we must insist on a maximum two week stay for all guests.

Check-in

Guaranteed at 3pm. If you arrive earlier, we will try our best to accommodate you prior to that.

Check-out

Check out is by 10am. We can store your luggage on the day of your check-out (charges may apply).

Shortening your stay

Once you have checked in at the hostel your stay cannot be shortened.

If you have booked a non-refundable ‘Pay Now’ rate then your stay cannot be shortened.

If you have booked a refundable ‘Pay Later’ rate then you can shorten your stay up to 48 hours prior to your arrival date.

Pets

Pets other than guide dogs are not allowed. If you or your party needs the assistance of guidance dogs during your stay, please notify us in advance of your arrival.

No smoking and vaping

Smoking and vaping are not permitted inside the hostel. If smoking or vaping is detected a fine will be charged to your credit card on file.

Alcohol Policy

We reserve the right to not serve alcohol.

Damage to the hostel

Any damage to rooms, or the hostel premises caused by your party during the stay and items missing upon your departure will be charged to your credit card on file.

Lost and found

You acknowledge and agree that The Baxter Hostel cannot be held liable for lost, damaged or stolen items. If you leave an item behind, it is your own responsibility to retrieve such item.

Wifi

Our wireless network is provided “as is” without warranties of any kind, whether express, or implied or statutory. We do not warrant that access to our wireless network will be uninterrupted, timely, secure or error-free at all times or will meet your requirements. We are not responsible for the security, integrity, accuracy or completeness of any information that you transmit or receive while using our wireless network.

Recording and photography

Any audiovisual recording, photo shoot, reproduction or representation of images including the premises and buildings of the hostel other than for strictly private use is subject to our prior approval. Permission can be obtained by contacting us at thehost@thebaxterhostel.com

Force majeure

The Baxter Hostel does not accept liability or pay any compensation for any breach of these terms and conditions or delay or failure to provide services contracted due to circumstances beyond our control, such as acts of God, (natural) disaster, fire, (acts of) war and terrorism, strikes, riots, civil disorder, governmental regulations, industrial disputes, adverse weather conditions or any other exceptional and catastrophic event, circumstance or emergency, delays in transportation, failure of services or inability to obtain any necessary information or consent from any authority.

Privacy

During the reservation process and your stay The Baxter Hostel collects your personal data. These data are processed in accordance with our Privacy Statement and also according to any applicable laws and regulations.
